Important Information for Your Visit
Arrival Time:
Please arrive 5-10 minutes early to have a proper check-in for your service. You should have received an email with your client intake form, this must be filled out prior to your appointment. If it is not, we will resend it to you and you will need to complete it in its entirety.
Day Passes to the Hot Springs
- Day passes are available only for clients receiving a service who are not guests of the resort, RV park, Chalets, or Condos.
- Passes cannot be given or sold to anyone else in your party if they are not receiving a service—no exceptions.
- Day passes are valid only on the date of service.
Cancellation & No-Show Policy
- A card must be on file in order to book a service.
- We have a 48-Hour cancellation policy. Clients will receive both 48- and 24-hour reminders of their appointments.
- Any changes to an appointment for lesser time or cancellation that is 48 - 24 hours before the service(s), the card on file will be charged 50% of the service(s) scheduled.
- Any changes to an appointment for lesser time or cancellation less than 24 hours before the service(s), the card on file will be charged 100% of the service(s) scheduled.
- Any clients who are a no-show to their appointment(s), the card on file will be charged 100% of the service(s) scheduled.
- Any clients that are more than 15 minutes late to their scheduled appointment(s) will be considered a no show and that appointment will be automatically cancelled and charged the full amount of the service scheduled.
Clients who have previously no showed must prepay in full for future appointments.
If you mistakenly book at our spa but are actually in Canada, the same cancellation policy applies—no exceptions.
Late arrivals will receive a shortened session but are still responsible for the full-service price.
Payment & Booking Policies
- A card on file is required to hold all appointments.
- FHSR guests may charge services to their room with proof of stay.
- We no longer accept FHSR gift cards unless the client is an FHSR guest.
Age Restrictions
- Clients under 18 must have a parent/guardian sign their intake form.
- No clients under the age of 15—no exceptions.
- Clients ages 15–18 must be accompanied by a same-sex parent or guardian in the treatment room unless otherwise requested.
Satisfaction & Conduct Policy
If you are unsatisfied with your service, please contact the spa owner directly at WhisperingWillowsDaySpa@gmail.com so we can address any concerns. While we strive to resolve issues, refunds are not guaranteed.
Our practitioners reserve the right to refuse or end a treatment at their discretion.
Any inappropriate comments or behavior of a sexual nature will result in immediate termination of the appointment, and the full-service price will still be charged.
Whispering Willows Day Spa is independently owned and operated. Fairmont Hot Springs Resort is not responsible for any issues related to the spa.
